Volunteer Coordinator

Qualifications

  • High School Diploma/GED

  • Two years previous work/volunteer experience, performed at a minimum of 10 hours/week

  • Previous experience in operating a volunteer program preferred

  • Previous experience in supervising others preferred

  • Bachelor’s degree in a related field preferred

  • Must have reliable transportation and current auto insurance as required by the State of Texas

 

Essential Duties and Responsibilities

Development:

·       Work with Community Relations Director in the development of a strategic plan for volunteer recruitment in all service counties, utilizing media, speaking engagements, brochures, etc.

·       Participate in the development of specific plans and goals to accomplish service needs

·       Identify, develop and initiate volunteer projects to assist in overall agency operations.

·       Attend pertinent agency development meetings to provide representation of volunteer programs and procedures

·       Maintain compliance with agency policies, funding sources, and directives from the Community Relations Director and/or Executive Director

 

Statistics & Reporting:

·       Complete all paperwork and reports necessary to maintain compliance with agency policies and procedures.

·       Compile volunteer statistic reports for different granters and internal reports

·       Work with volunteers to ensure completion of monthly data entry of volunteer service data into the Integrated Tracking System (ITS)

·       Implement systems to ensure completion of all volunteer paperwork, to include volunteer time sheets and client service logs

 

Volunteer Management:

·       Oversee the functions of all volunteers and provide backup services as needed

·       Effectively recruit, train, evaluate, monitor, and dismiss agency volunteers

·       Facilitate regularly scheduled meetings to connect volunteers with each other and the agency

·       Provide initial and ongoing training to volunteers to ensure preparation to work in his/her respective area

·       Oversee scheduling of volunteers to meet the needs of the organization’s programs

·       Recognize a volunteer’s special interest and skills and implement into programs.

·       Develop and maintain efforts to recognize, appreciate, and retain volunteers (thank you cards, follow up calls, formal recognition, etc.)

·       Assist in problem solving any concerns related to volunteers in the organization

·       Maintain volunteer files and records

·       Create and maintain a work space equipped for volunteers to carry out assigned tasks

 

Public Relations:

·       Assist the Community Relations Director in maintaining a positive relationship with other agencies, community representatives, funders and professional organizations

·       Attend agency sponsor community events as needed

Program Support:

·       Ensure communication throughout the agency regarding volunteer needs and volunteer resources available.

·       Provide monthly reports to the Community Relations Director and board of directors to inform of monthly and YTD volunteer recruitment and training statistics

·       Work with the Education Coordinator to develop and maintain a volunteer speaker’s Bureau.

·       Work with the Education Coordinator to initiate speaking engagements related to recruitment of volunteers, and act as back up for general awareness presentations.

·       Work with other program supervisors to coordinate volunteer special projects and volunteer participation at agency sponsored events.

·       Create and maintain a job manual specific to the functions and procedures of the Volunteer Coordinator

·       Adopt and practice the agency model of open, honest, and ethical communication and communicate effectively with clients and other staff members

·       Attend meetings pertinent to job performance

·       Provide direct service and on call coverage to the agency as needed to ensure 24 hour availability of quality services

 

Building and Equipment Maintenance:

Part-time Residential Advocate (Polk County)

Qualifications

  • High School Diploma/GED

  • Two years previous work/volunteer experience, performed at a minimum of 20 hours/week

  • Previous experience in client services preferred

  • Bilingual preferred

  • Must have reliable transportation and current auto insurance as required by the State of Texas

 

Essential Duties and Responsibilities

Primary Job Functions:

·       Maintain confidentiality of client information and shelter locations

·       Maintain 24 hour hotline, providing crisis intervention and support services

·       Participate in the ongoing case management of residential clients to include goal setting and action planning, evaluating client progress, and working with clients to identify needed resources and/or options

·       Provide information to clients about family violence and sexual assault dynamics and healing processes

·       Provide information to clients about basic life skills, addiction management, healthy relationships, parenting, budgeting, and other needed tools

·       Use crisis intervention and peer support techniques to facilitate recovery from abuse, decrease the effects of experienced trauma, address negative feelings and behaviors, aide in clients’ own self awareness, and resolve both intrapersonal and interpersonal conflict

·       Perform administrative duties to include maintenance of daily communication logs, client service logs, client intakes and paperwork, regular inventories, and hotline documentation

·       Provide information and referrals to clients to assist in access to community, medical, legal, and employment resources

·       Maintain an understanding of appropriate boundaries and relationships with both clients and staff

·       Maintain general cleanliness and basic maintenance of the shelter facilities on a daily basis

·       Maintain safety and security of the physical structure of the shelter facilities

·       Provide access to needed items to include food, clothing, personal hygiene items, and telephone

·       Provide access to transportation and medical care

·       Provide information about training for and seeking employment

LPC-Intern

(Polk County)

Qualifications

  • Licensed Counselor, LPC (I)

  •   Work/volunteer experience in social services

Essential Duties and Responsibilities

  •  Provide intake sessions assessing an individual’s eligibility for services

  • Provide information and referrals relevant to each individual’s situation

  •  Responsible for providing crisis intervention and support services to survivors to include accompaniment, counseling sessions, transportation, emergency medical care, and immediate access to residential services

  •  Provide clinical support and feedback to Crisis Intervention Advocacy Team during case-management meetings

  •  Schedule counseling sessions to also allow for office coverage and on call service as needed

  • Check and sign timesheets and check service logs for accuracy

Polk County Coordinator

Qualifications

Essential Duties and Responsibilities

Development:

·       Work with Community Relations Director in the development of a strategic plan for education and awareness in all service counties, utilizing media, speaking engagements, brochures, etc.

·       Participate in the development of specific plans and goals to accomplish service needs

·       Develop printed materials to promote awareness (presentations handouts, brochures, etc.) of family violence and sexual abuse issues

 

Community Education:

·       Maintain and enhance community awareness regarding the mission, services, and needs of SAAFE House through a strategic plan that uses a variety of mediums which reflect the diversity within the communities we serve (to include educational sessions, professional trainings, social and print media, etc).

·       Develop and implement presentations and programs that enhance community awareness about family violence and sexual assault related issues.

  • Assist Education Coordinator in providing primary prevention education in Walker, Polk, San Jacinto and Trinity counties using presentations, special events, and public awareness campaigns.

  • Work with the Education Coordinator to implement community events & programs that highlight special awareness months, most specifically Domestic Violence Awareness Month (October) and Sexual Assault Awareness Month (April).

  • Maintain records of speaking engagement schedules, presenters, and materials

 

Community Events:

  • Work with the Events Coordinator to coordinate and implement fundraising activities in Polk and San Jacinto counties

  • Serve as a local liaison for Polk County events being conducted on our behalf.

  • Maintain records of Polk County event details, to include donor records, ticket sales, and venders used

  • Assist with development and management of a fundraising budget

  • Assist in evaluating the cost effectiveness of our events.

  • Work with the Community Relations Director and Events Coordinator to ensure continual contact with SAAFE House supporters, to include newsletter mailings, e-mailings, social media, and timely letters of appreciation and recognition for contributions given.

  • Assist in researching new resources within the community to help fund and support the organization

 Administrative:

  • Answer phones and transfer calls/relay messages to appropriate parties

  • Greet clients/visitors to the SAAFE House office

  • Receive, inventory, and process donation from the public

  • Maintain donation processing records

  • Go to post office regularly and pick up mail from box

  • Sort and log mail and distribute to appropriate individuals

 

Program Support:

  • Attend meetings pertinent to job performance

  • Work with the Volunteer Coordinator to schedule and prepare volunteers to work agency sponsored/supported community events
